Privacy Policy

Effective October 13, 2026 · Under attorney review. Material changes are emailed to account owners at least 30 days before they take effect.

This policy explains how Flote Quote LLC, doing business as FloteQuote (“FloteQuote,” “we,” “us”), Pensacola, Florida, collects, uses, shares, and protects personal information through the FloteQuote software and this website.

1. Two roles

For visitors, customers, and their team members we decide how information is used. For homeowners and other clients of a contractor who uses FloteQuote, the contractor decides. They collect your details through their quote page and we process them only on their instructions. If you are a homeowner, the contractor’s own privacy practices govern your information; send requests to them first, and if you write to us we will pass your request along and help them answer it.

2. What we collect

  • Account details: name, business name, email, phone, address, and login credentials.
  • Billing details: billing name and address, plan, and payment history. Card and bank numbers are entered directly into Stripe; FloteQuote never receives or stores full card numbers.
  • Setup information: price lists, logos, and the answers on the start form.
  • Optional personal preferences (owners only): if you fill out our “about you” form, your birthday, family names, favorite restaurants, snacks, teams, hobbies, shirt size, and a mailing address. We use this only to send you cards and gifts. You can change or remove it with the same link.
  • Customer Data entered by contractors: their clients’ names, service addresses, phones, emails, job photos, notes, measurements, prices, quotes, approvals, and payment status.
  • Automatically: IP address, browser and device type, pages and features used, timestamps, and error logs, collected by us and by Cloudflare, our hosting provider. We do not request device GPS. Photos are resized and re-encoded in your browser before upload, which removes the original file’s location data.
  • From connected tools: what you authorize when you connect Stripe, Zapier, Google Business Profile, or a website form.

Please do not put Social Security numbers, driver’s license numbers, full card or bank numbers, health information, or information about children into FloteQuote.

3. How we use it

  • To create and run accounts, provide and support the Service, and run the integrations you turn on.
  • To bill subscriptions, calculate FloteQuote Payments fees, and send receipts and billing notices.
  • To set up new customers, including a short series of onboarding emails from our founder, and to send cards and gifts to owners who have shared their preferences.
  • To keep the Service secure, prevent fraud, fix problems, and understand how it is used so we can improve it.
  • To send service messages and, if you opt in, marketing emails you can unsubscribe from at any time.
  • To comply with the law and enforce our Terms.

We use Customer Data only to provide the Service to the contractor who entered it, to secure the Service, to support them, to calculate their fees, and to comply with the law. We do not sell personal information, we do not share it for targeted advertising, and we do not use it to train AI models.

4. AI features

FloteQuote uses AI providers to write quote ranges, proposal text, follow-up messages, review replies, and market research, and to make ad images. For a specific quote or message, that lead’s answers, photos, and notes are sent to Anthropic (Claude), with Cloudflare Workers AI as a fallback. Market research sends company and market information, not client names, to xAI (Grok). Ad images use OpenAI, Google Gemini, and Cloudflare Workers AI with no Customer Data. We use these providers under business terms that do not permit training on your data.

5. Google data

If a contractor connects Google Business Profile, we request one permission (business.manage) to read new reviews and post the replies they approve. We use that data only for that feature, do not transfer it except to provide the feature, do not use it for advertising, and do not use it to train AI. Disconnecting removes our access immediately. Our use of Google data follows the Google API Services User Data Policy, including its Limited Use requirements. There is no Google sign-in.

6. Who we share it with

Only service providers that help us run FloteQuote, under agreements that limit them to that work: Stripe (billing and payments), Cloudflare (hosting, database, video, AI fallback, security), Resend (email delivery), Anthropic, xAI, OpenAI, and Google (AI features as described above), Google (backup copies and, when connected, Business Profile), and Zapier or website form providers only when a contractor connects them. We also share information within your own account according to the permissions you set, to comply with valid legal process, to protect safety and rights, and in a business transfer under confidentiality. Where the law allows, we notify the affected contractor before disclosing Customer Data to anyone else.

7. Cookies

The Service uses only essential cookies: your login session, a memory of which company’s site your phone belongs to, and a practice-mode flag. Cloudflare may set security cookies. We use no analytics, advertising, or cross-site tracking cookies.

8. How long we keep it

Account and Customer Data: while your account is active. After cancellation, available for export for 30 days, then deleted from the live Service. Backup copies roll off on our backup cycle. Billing and tax records: as long as tax law requires. Support emails and logs: for as long as needed to run and secure the Service. Marketing contacts: until you unsubscribe, plus a record so we do not email you again.

9. Security

We use reasonable administrative, technical, and physical safeguards: encryption in transit, encryption at rest in our hosting provider’s systems, access limited to people who need it, a one-time emailed code for staff access, login lockout after repeated failed passwords, payment data handled only by Stripe, regular backups, and an automated nightly health check. No system is perfectly secure. Use a strong, unique password and remove team members who no longer need access.

10. If there is a breach

Where we hold information for a contractor, we notify that contractor without unreasonable delay and no later than 10 days after we learn of it, with what they need to notify their own clients. Where we hold information for our own purposes, we notify affected people as the law requires, including Florida’s 30-day rule and its regulator and credit-bureau notices when they apply.

11. Your choices

Customers, team members, and visitors may ask us to tell you what we hold about you, correct it, delete it (except records we must keep), or stop marketing. Email [email protected] with the subject “Privacy Request.” We verify you control the account email, respond within 45 days, and never treat you differently for asking. If we deny a request you may appeal by replying with the subject “Privacy Appeal.” We honor these requests whether or not a particular state law applies to us. Homeowners: send requests to your contractor; if you write to us, we will forward them and help.

12. Texts, children, and location

FloteQuote does not send text messages; contractors text you from their own phones, so reply to them to opt out. The Service is a business tool for adults and is not directed to children; contractors must not enter information about children under 13. Our providers may process information in the United States and the other countries where they operate.

13. Changes

This is an interim version while our attorney completes a full review. We post updates here with a new effective date and email account owners at least 30 days before a material change takes effect.
